Leakage point
Customer asks “Do you have availability today?” after hours.
The current reply waits until the next morning, then asks for name and phone only. It misses service type, preferred location, time window and urgency, so staff still need a second round-trip.
Safer first reply
Acknowledge without promising availability.
Reply quickly, collect the missing facts and state that the team will confirm the next step. Do not quote, diagnose, guarantee availability or request sensitive details in the first message.
Handoff owner
Assign one person and one deadline.
Create a short handoff note with source, request, contact route, missing details, owner and due time so the lead does not sit between inboxes.
